You just need to be sure that you find an event agency that has a proven track record in your particular sector. Ask about previous clients and where their expertise lies to be sure you’re finding the perfect fit.

2. What Is Your Cost Structure?

It’s very hard to compare quotes from different agencies when they all have different cost structures. The last thing you want is to be hit with hidden charges after the event that you hadn’t budgeted for. Ask exactly how their management fee works, if they charge by the hour, and if there are any hidden fees that you should know about. You can then make a fair comparison across however many event agencies you choose to consider.

3. What Roles Do You Outsource?

Many event agencies will outsource some aspects of the project, such as the build or event registration. There’s nothing wrong with that at all. It’s just important that you know who is going to be responsible for which aspects of your event. If they do outsource, ask about their quality control processes for dealing with partners, and if possible get some information on who they will be using so that you can do some research of your own.

4. Have You Got Proof of Success?

Any good event agency should have proof of their success in previous projects. If they can’t give you this information, this should set off alarm bells. Information such as their success rate in completing projects on time and within budget will give you an accurate picture of how likely it is that they can truly deliver what they promise.  You should also ask how much of their work is repeat business. This is a strong indication of how good they really are.
